ERPNext User and Portal Configuration Guide

This guide outlines the steps to add a new user, configure their permissions, and set up access to specific documents and web forms within ERPNext. Follow these instructions to ensure the user has appropriate access to the portal and its functionalities.

1. Add User if Not Existing

  • 1.1 Navigate to the User List in ERPNext.
  • 1.2 Check if the user exists in the list:

    • If the user does not exist, click on the Add User button.
    • Fill in the required user details:

      • Email: The user's email address.
      • First Name: The user's first name.
      • Last Name: The user's last name.
      • User Type: Select System User from the dropdown.
    • Save the new user record.

2. Select "Customer" in User Permission

  • 2.1 Open the newly created or existing user record.
  • 2.2 Go to the Roles and Permissions section.
  • 2.3 Ensure that the Customer role is assigned to the user:

    • Click on Add Role.
    • Select Customer from the dropdown list.

3. Choose the Customer that User Belongs To

  • 3.1 Navigate to the Customer List.
  • 3.2 Select the appropriate customer record that the user belongs to.
  • 3.3 In the customer record, link the user to the customer:

    • Go to the Contacts section.
    • Add the user's contact details if not already present.
    • Ensure the user's email matches the email in the user record.

4. Go to the "Portal User" Tab

  • 4.1 Open the user record from the User List.
  • 4.2 Navigate to the Portal User tab.
  • 4.3 Verify the user's details and portal access settings.

5. Select the User

  • 5.1 In the Portal User tab, ensure the correct user is selected.
  • 5.2 Confirm that the user has access to the portal.

6. Portal Settings and Document Access

  • 6.1 Navigate to Portal Settings.
  • 6.2 Select the Doctype you want the user to see:

    • Go to the Allowed Documents section.
    • Add the required DocTypes that the user needs access to.

7. Add Web Form to Website for User Access

  • 7.1 If you have created a web form and want to add it to the website for user access:
  • 7.2 Navigate to Portal Settings.
  • 7.3 Add the web form route in the custom route settings:

    • Go to the Custom Routes section.
    • Add the web form's route:
    • Route: Enter the URL path for the web form.
    • Label: Enter a descriptive label for the web form.
  • 7.4 Save the portal settings.

By following these steps, you will successfully configure a new user, assign appropriate permissions, and ensure they have access to the necessary documents and web forms within the ERPNext portal.
